Retreats booked over days of email

Watervillas Amsterdam hosts company retreats at a collection of waterside villas in and around the city. Until the platform existed, every booking was an email thread: dates and headcount sent in, availability sent back, add-ons chosen, an invoice issued, a bank transfer made, and the agenda organised somewhere else entirely.

Each booking took several rounds of communication and the Watervillas team handled all of it by hand. At low volume that is a cost of doing business. As the business grew, the manual process became the ceiling on how many retreats could run concurrently, because every booking consumed the same team that had to deliver it.

The operations leads on the client side were no happier. Booking an offsite for a team should not take days of coordination, and the friction was showing in how long each booking took to close.

02

The brief was zero involvement, not less

The requirement was precise. An operations lead had to be able to complete a full retreat booking, dates, villa, headcount, catering and activity add-ons, payment, with no involvement from the Watervillas team. Not reduced involvement. Zero. The team would receive a confirmed booking with every detail, and the next interaction would be welcoming the group at the door.

That single sentence set three technical conditions. Availability had to be real-time, or the lead would still be emailing to check. Add-on configuration had to work without a conversation, which meant the pricing logic had to be complete. And payment had to settle in full at booking rather than trigger an invoice and a bank transfer, or the thread would simply resume in the finance department.

03

Packages, live availability and Stripe on one flow

The booking flow starts with dates and headcount. That query runs against live villa availability and returns the options that fit. Once a villa is selected, the operations lead configures the retreat: catering for each day, activity options such as guided tours, workshops and water sports, and any equipment needs. The price updates in real time as options are added, so there is never a moment where the lead has to ask what something costs.

Stripe takes payment in full at booking. A confirmation goes to the operations lead and to the Watervillas team at the same moment. The team dashboard lists every confirmed retreat, its full configuration and any special requests noted during booking.

Team management runs through the same platform. After booking, the operations lead adds team member details, and dietary requirements and preferences are collected per person and surfaced in the kitchen dashboard before the group arrives. The kitchen sees the constraints; the lead never has to compile a list.

04

Why full payment at booking over deposit and invoice

The old process took a deposit at booking and a final payment before the retreat: two steps, two collection actions, and one more place for a booking to stall. Full payment through Stripe at the moment of booking removes the second step, eliminates the risk of a late final payment, and gives Watervillas revenue certainty as soon as a booking confirms.

The trade-off is that some clients booking far ahead prefer not to commit the full amount that early. For bookings made more than 90 days in advance, a configurable deposit option was added. The default stays full payment because the business benefits from it; the exception exists because a rule with no exception would have cost bookings.

05

How a retreat gets booked now

An operations lead opens the site, enters dates and headcount, and sees which villas are free. They pick one, walk through catering and activities with the total updating beside them, and pay. Both parties receive the confirmation. Over the following days the lead adds the team, and each person's dietary needs land in the kitchen dashboard.

On the Watervillas side, nothing happens until the confirmation arrives, and then everything needed to prepare is already in it. The team no longer answers availability emails, builds quotes by hand, issues invoices, watches for bank transfers or chases the final payment before arrival.

06

What Watervillas operates with today

Retreats book without team involvement. The confirmation contains everything needed to prepare: headcount, catering configuration, activity bookings and dietary requirements per person. The email coordination that once defined each booking has been replaced by a single confirmation.

The team's attention moved from booking administration to retreat delivery, which is the part of the business that guests remember. And because every booking is now a structured record rather than a thread, the number of retreats running at once is limited by villas and calendar, not by the inbox.
