The month nobody checked the spreadsheet

Licencely serves compliance teams at organisations that hold multiple regulatory licences: operating permits, professional certifications, industry-specific approvals. The usual instrument is a shared spreadsheet with a column for the licence name, a column for the expiry date and one person whose job it is to look at it every month. It works until it does not. A period of staff change, a missed email or a single month when nobody opened the file is enough for a licence to slip.

The organisation behind Licencely had lived through exactly that. A professional certification lapsed unnoticed. Reinstatement took six weeks and cost the organisation significantly in fees and lost operating capacity. What they wanted afterwards was not a better reminder. They wanted infrastructure that made missing a renewal structurally impossible, where the deadline itself did the chasing.

02

Built for administrators, not engineers

The platform's users are compliance administrators. They are not operations engineers, and there was no training budget to make them into one. The tool had to behave like a well-organised internal system: clear status, clear next action, nothing buried in settings. If a deadline was approaching it had to be obvious the moment the dashboard opened, and acting on it had to take two clicks, not five.

That constraint kept the scope deliberately narrow. One place for every licence, a status indicator that could be read at a glance, and a notification sequence that escalated on its own as a deadline approached. Anything that would have needed a manual to explain was left out.

03

A licence register that escalates on its own

Each licence record holds a category, the issuing authority, the expiry date, a responsible owner and any attached documentation, such as the certificate itself or the renewal correspondence. The system watches every active licence continuously and triggers a notification sequence by proximity to expiry: a summary email at 90 days, a reminder at 30, a direct alert to the owner at 14, and an escalation to a secondary contact at 7. Each step widens the audience, so a deadline that one person ignores becomes visible to someone else before it is too late.

The notification logic runs through Zapier. That places the escalation sequence in a tool administrators can edit themselves, adding a step or changing a recipient without a developer involved. The dashboard shows every licence by status in real time, and reporting on the register is available at any point, with the history of documents and renewals attached to each record.

When a renewal completes, the administrator updates the expiry date, the new certificate is attached, the old document is archived and the record is clean again. The archive stays with the licence, so an auditor asking for last year's certificate finds it under the same record.

04

Why the date sends the alert, not a task

The alternative was a task management layer: assign a renewal task to a person, track its completion, remind them about the task. It would have added an accountability structure that looks reassuring on a board. The flaw is that a task can be marked complete without the renewal actually being done, and once it is closed, the reminders stop. The system would then be reporting a clean register while a licence quietly expired.

A notification tied to the licence date is harder to dismiss without addressing the actual renewal, because the only way to silence it is to update the expiry date, and that requires the new licence in hand. The goal was to make the deadline unavoidable rather than to build a more structured way of tracking whether someone had dealt with it. Multiple teams and users share the register, but the date is the single source of truth for all of them.

05

What an administrator does on a normal week

An administrator logs in, sees the register sorted by proximity to expiry, and opens whatever is closest. The record already holds the issuing authority and the last certificate, so the renewal starts from there rather than from an inbox search. When the new certificate arrives it is attached, the date is updated and the item drops down the list.

Everything else happens without them. The 90-day summary goes out, the 30-day reminder follows, and if nobody acts, the 14-day alert and 7-day escalation reach people who will. No one maintains a spreadsheet, no one sends chasing emails, and no one has to remember that this is the month to check.

06

What the register holds today

Since launch, no licence managed through the platform has expired unrenewed. Compliance teams log in to check status rather than to chase information across inboxes, and the escalation sequence handles communication that previously depended on individuals remembering to act.

The organisation that built it now manages 47 licences across three business units without a dedicated compliance coordinator. The register, the archive and the audit trail exist because the system produces them as a by-product of normal use, which is what makes the reporting ready whenever it is asked for.
